PRE-WEDDING:

  • Starting ten-twelve months prior to your wedding with unlimited emails, calls and texts (within reason).

  • First meeting to discuss your wedding vision, budget and get organized with a monthly timeline outlining both our responsibilities pre-wedding day. We will draft a detailed outline to include color schemes and/or themes, customs, traditions and any other detail you would like to have at your wedding.

  • Monthly meetings with clients to discuss our monthly "to-do" timelines, draft an initial timeline of events, review all the vendor contracts provided by client, and discuss any other open matters (can be via telephone or in person).

  • Create and manage a detailed budget to help you stay on track.

  • Create and manage a detailed spreadsheet for guest RSVP's which will include meal and gift details. This includes but not limited to contacting guests in keeping guest counts maintained and updated.

  • Assist in locating the perfect venue(s).

  • Unlimited vendor referrals including but not limited to custom invitations, wedding cakes, hair/makeup artists, officiants, photographer, videographer, florist, transportation, etc.

    • Unlimited vendor communication.

    • Obtain and review all vendor proposals and contracts prior to hiring.

  • Assist with the design of all custom stationary including save the dates, invitations, programs, menu’s, table numbers, place cards and any specialty signs.

    • In-house design services offered at an additional cost (see a la carte menu)

  • Assist with rental selections and place orders.

  • Attend your venue menu tasting and draft a Banquet Event Order.

  • Design and plan a design-layout in 2D & 3D virtual reality for ceremony and reception and stage the day-of.

    • Assist with your seating arrangements.

    • Table mock-up to see your vision come to life.

  • Assist in selection of ceremony and reception entertainment.

    • DJ, live musicians/bands, bellydancers, Tahitian dancers, etc.

  • Confirm venue's requirements for Certificates of Insurance and Liability and if client is required to purchase Event General Liability Insurance.

  • Create and distribute a detailed wedding day itinerary for the venue and the vendors. This is reviewed with all vendors prior to your event to ensure a seamless day!

  • Contact and confirm all vendors for arrival times and discuss venue’s procedures for unloading, set up and strike down.

  • Coordinate wedding ceremony rehearsal with the bridal party and family.

 

DAY OF YOUR WEDDING:

  • Detailed on-site coordination and management of the entire wedding day.

  • Check in all vendors upon arrival and oversee complete set-up of the ceremony and reception site and confirm floor plan is fully executed.

  • Distribute personal flowers to wedding party & family.

  • Confirm that all decor, place cards, menu cards, favors, guest book, toasting flutes, cake knifes and any other special items are perfectly placed per the clients direction.

  • Final inspection of seating counts, layout & décor.

  • Attend a sound check with the DJ and/or band.

  • Cue wedding party for processional & cue their entrance. Work closely with DJ for a seamless ceremony.

  • Ensure all wedding guests are properly welcomed and escorted.

  • Cue wedding party and couple for grand entrance. Work closely with DJ and/or band.

  • Confirm and coordinate reception activities & timing with DJ, videographer, photographer, caterer and the venue event manager during the entire reception (i.e. first dance, toasts, bouquet toss, cake cutting & grand exit).

  • Receive gifts from guests and ensure they are in a safe location.

  • Ensure all items to leave with the bride and groom or designated family member are packed up and ready to take at the end of the night (i.e. gifts, photos, etc.).

  • Distribute final payment and gratuities to vendors.

  • Initiate strike down and close-out facility.

  • Each wedding includes three assistants. Additional team members will be provided if needed for an additional cost based on logistics and guest counts.
